WEBSITE & COMMUNICATIONS PRIVACY POLICY
Effective Date: October 26, 2026
Applies To: Website Visitors, Prospective & Current Clients, Partners, Applicants, and the General Public

PRIVACY AT A GLANCE (PLAIN-ENGLISH SUMMARY)

We believe you shouldn't have to read pages of legal text to understand how we handle your information. Here is the short version of our privacy practices (with full details in the sections below):

  • We only use your inquiry details to help with your project: When you fill out a form, email us, or call us, we use your contact and project information strictly to review your request, route it to the right CIP team (CIP Modular, CIP Modular Construction Services, or CIP Transport & Logistics), and follow up with you.

  • We never sell your information: We do not sell, rent, or trade your personal contact details to third parties.

  • Website analytics & masked session recordings: If you accept cookies on our banner, we use Google Analytics and Microsoft Clarity to see how visitors navigate our website and fix usability issues. Microsoft Clarity is set to automatically mask (blank out) identifying text you type into our forms so your personal details are not captured in screen recordings.

  • Privacy-safe ad measurement: If you arrive from one of our search ads and accept cookies, an anonymous click ID is saved with your inquiry so we know which ad brought you here. If your inquiry is a fit for our services, we send only that anonymous click ID back to Google Ads—we never upload your name, email address, or phone number to advertising platforms.

  • You can say "No" to tracking and still contact us: Clicking Decline on our cookie banner turns off analytics, session recordings, and ad tracking completely. You can still browse our website and submit project inquiries normally.

  • You are in control of your data: You can contact our Privacy Officer anytime at info@cipmodular.ca or 250-753-8550 to ask what information we hold about you, update it, or request that we delete it.

(Please read the full policy below for complete legal details.)

Coastal Installations (Prefab) Ltd, operating as CIP Modular and affiliated divisions including CIP Modular Construction Services and CIP Transport & Logistics (“CIP”, “we”, “us”, or “our”), is committed to protecting your privacy and safeguarding the personal information shared with us through our websites (including https://www.cipmodular.ca), inquiry forms, telephone communications, and business relationships.

This policy outlines how we collect, use, disclose, retain, and protect personal information in accordance with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA), British Columbia’s Personal Information Protection Act (BC PIPA), Alberta’s Personal Information Protection Act (AB PIPA), and other applicable provincial and federal privacy laws.

2. SCOPE

This policy applies to:

  • Visitors to our websites and digital landing pages

  • Organizations, clients, and prospective buyers submitting project, installation, or transport inquiries

  • Vendors, partners, and subcontractors

  • Individuals submitting employment or contractor applications to CIP

3. WHAT INFORMATION WE COLLECT

Depending on how you interact with us, we may collect the following categories of information:

  • Business & Contact Information: Your name, organization/company name, job title, email address, telephone number, and business address.

  • Project & Service Inquiry Details: Information you provide regarding your project site location, building use or stage, building ownership (for third-party installation inquiries), load/route details, and project specifications.

  • Telephone & Communication Records: Details of phone calls, emails, or messages exchanged with our intake, sales, or operations teams (including call date/time, routing verification, and inquiry notes).

  • Employment & Subcontractor Applications: Resumes, work history, certifications, and references when you apply for employment or contract work.

  • Technical, Analytics & Advertising Attribution Data: When you visit our website—and subject to your cookie consent preferences—we may automatically collect your IP address, browser type, device type, operating system, referring URLs, pages viewed, time spent on pages, masked interaction data, and advertising campaign parameters or click identifiers (such as UTM parameters or a Google Click ID / gclid).

4. HOW WE USE YOUR INFORMATION

We collect and use information to:

  • Review, validate, route, and respond to your commercial building, installation, or transport inquiries

  • Coordinate handoffs between authorized CIP divisions when an inquiry involves multiple services (for example, routing an inquiry that involves both modular building supply and site installation or transport to the appropriate CIP team)

  • Prepare quotes, estimates, proposals, and project updates

  • Process employment, vendor, or subcontractor applications

  • Communicate important operational updates, notices, or safety bulletins

  • Measure website usability, diagnose technical issues, and evaluate the effectiveness of our search advertising campaigns

  • Protect our website from spam, fraud, and unauthorized access

  • Maintain accurate business, legal, and compliance records

We do not sell or rent your personal information to third parties.

  • Inquiries & Communications: By submitting your information to CIP through our website forms, email, or telephone channels, you consent to the collection, use, and disclosure of that information as necessary to evaluate and respond to your request in accordance with this policy.

  • Cookies & Tracking Preferences: When you first visit our website, our cookie consent banner allows you to Accept or Decline non-essential analytics and advertising cookies. Declining non-essential cookies disables analytics, session recording, and advertising click-ID attribution; however, it will never prevent you from browsing our website or submitting a project inquiry.

  • Withdrawing Consent: You may withdraw your consent to the use of your personal information or change your cookie preferences at any time (subject to legal or contractual restrictions) by using our website cookie settings or contacting our Privacy Officer (see Section 11).

6. COOKIES, ANALYTICS, SESSION REPLAY & ADVERTISING ATTRIBUTION

We use essential and (where consented) non-essential cookies and similar technologies across our website:

  1. Strictly Necessary & Security Cookies: Used to ensure basic website operation, security, spam filtering on forms, and to remember whether you have accepted or declined our cookie banner.

  2. Website Analytics (Google Analytics): With your consent, we use Google Analytics to understand aggregate traffic patterns, page views, and form interactions so we can improve site navigation.

  3. User Experience & Session Replay (Microsoft Clarity): With your consent, we partner with Microsoft Clarity to capture how visitors interact with our website through behavioral metrics, heatmaps, and session replays to improve website usability and identify technical friction. We have configured Microsoft Clarity to mask and filter personal or identifying information (such as text entered into inquiry form fields) so that sensitive inputs are not captured in session recordings. For more information on how Microsoft collects and uses data, visit the Microsoft Privacy Statement.

  4. Advertising Attribution & Offline Conversion Measurement (Google Ads): When you arrive at our website by clicking one of our search advertisements and accept cookies, a temporary, non-personally identifiable click identifier (such as a Google Click ID / gclid) and campaign source parameter may be saved and submitted alongside your inquiry form. If our team validates your request as a genuine business inquiry within our service scope, we may transmit only that anonymous click identifier, timestamp, and an internal system order key back to Google Ads to confirm that our advertisement led to a valid inquiry. We never upload or share your raw personal contact details (such as your name, email, or phone number) with Google Ads for conversion matching. If you decline cookies on our banner, click identifiers are not stored or shared with advertising platforms.

7. EMBEDDED CONTENT FROM OTHER WEBSITES

Pages on this site may occasionally include embedded content (e.g., videos, interactive maps, or project media hosted on third-party platforms). Embedded content from other websites behaves in the exact same way as if you had visited the other website directly. Those third-party websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content in accordance with their own privacy policies.

8. SHARING, DISCLOSURE & CROSS-BORDER STORAGE

We may share information only where necessary and appropriate with:

  • Authorized CIP Personnel & Affiliated Entities: Estimators, sales representatives, intake coordinators, and operations managers across Coastal Installations (Prefab) Ltd and its operating divisions (CIP Modular, CIP Modular Construction Services, and CIP Transport & Logistics) to fulfill your inquiry.

  • Service Providers: Trusted third-party providers working on our behalf under confidentiality and data protection obligations (such as website hosting, customer relationship management [CRM] software, email hosting, spam detection services, and analytics providers).

  • Project Partners or Subcontractors: Only with your consent or where necessary to scope or perform a contract you have requested.

  • Legal & Regulatory Authorities: Where required or permitted by applicable law, court order, or regulatory requirement.

Storage Outside of Canada: Some of our third-party technology and cloud service providers (such as Google and Microsoft) may process or store technical data on servers located outside of British Columbia, Alberta, or Canada (including in the United States). While outside of Canada, such information is subject to the laws of the jurisdiction in which it is held.

9. HOW WE PROTECT YOUR INFORMATION

We take reasonable physical, administrative, and technical measures to safeguard your information against unauthorized access, loss, misuse, or alteration, including:

  • Secure servers, firewalls, and SSL/TLS encryption for data in transit

  • Role-based access controls restricting personal data to authorized personnel with a legitimate business need

  • Data-masking controls on behavioral analytics tools

  • Internal policies governing lead handling, confidentiality, and data security

10. DATA RETENTION & DISPOSAL

We retain personal information only for as long as necessary to fulfill the purposes for which it was collected—such as responding to your inquiry, managing an active project or business relationship, or meeting legal, tax, audit, and operational requirements. Inquiries determined to be spam, duplicates, or outside our service scope are logged for diagnostic reconciliation and periodically purged or anonymized in accordance with our internal retention schedules.

Under applicable Canadian privacy laws, you have the right to:
